How It Works: One Contract, Start to Finished

This page walks a single piece of content — a signed supplier contract — through the path: from the moment it arrives to the moment the obligations inside it have been acted on and recorded. The example is a contract, but the same stages apply to records, claims, applications, and correspondence.

Stage 1

Arrival: content enters one queue

The signed contract arrives attached to an email. In a manual process it would be saved to a shared drive — under whatever name the sender chose — and effectively disappear. Here, arrival is intake: the document is captured the moment it lands, given an identity, and queued alongside every other arrival. Email attachments, uploads, scans, and system feeds all enter the same way.

Nothing is filed by hand, and nothing depends on a person's filing habits. From this point on, the content's location and status are always known.

Stage 2

Classification: the content is identified

Next, the content is read — MaxxOwl™ SI on the MaxxLogix platform. Classification comes first: what is this? The engine decides from the document's layout, language, and content — parties and signature blocks, terms and clauses — not from a file name like "agreement_final_v3.pdf." It is a contract, and it is labelled as one.

That single decision drives everything after it: which data matters, which rules govern it, and where it belongs.

Stage 3

Extraction: the obligations become data

Extraction follows: the parties, the effective date, the term, the renewal date, the notice period, and the key obligations are lifted out as structured data. The contract stops being forty pages someone has to re-read and becomes a set of facts the business can search, check, and act on.

Every extracted value carries a confidence level. Anything the read is unsure about is routed to a person to verify, with the document and its data side by side — nothing is guessed.

Stage 4

Repository & governance: filed, permissioned, retained

The contract is filed in the Outcome Repository™ with its extracted data as its metadata. Its permissions come with it — the people and teams entitled to see it can, and no one else can. Its retention rule comes with it too: how long it is kept is a property of the record, not a note in someone's calendar.

From here, finding it is a search by any fact it contains — a party, a date, a term — and every access is logged. Governance stops being a policy and becomes the way the repository simply works.

Stage 5

Outcome: the obligation is acted on, on time

Because the renewal date is data, it does not ambush anyone. When it approaches, the obligation surfaces to the people who own it, with the contract and its terms already in hand. The renewal is renegotiated or allowed to roll — a decision, made on time, instead of a surprise.

And the outcome — what got done with it — is written to the record. That is what Outcome Analytics™ reports on across all content: volumes, renewals met, questions answered, and where human judgement was needed along the way.

The other front door: forms and portals

Not everything arrives as content to be read. A request submitted through a form or a portal — MaxxLaunch™ on the MaxxLogix platform — arrives as structured data already, and joins the same governed record. From there both doors are treated identically: permissioned, retained, and accounted for. Documents and data, one platform.

Same path, every content type

Every content type your operation runs on can be walked through the same five stages. The data that matters, the permissions, and the retention change from type to type; the path doesn't. That consistency is what makes the record trustworthy — and what makes a platform different from a pile of folders.
